Job Summary

We are currently recruiting for a Project Manager Assistant (PMA) / Project Administrator to join our Dublin (Dun Laoghaire) based office.

As a PMA / Project Administrator you will work with the Building and Places team on our growing portfolio of clients across Ireland.

As a PMA you will have the following daily responsibilities:

• Day to day administration support to the Building Engineering and Design, Planning + Economics operations departments and project teams.

• Assistance to the Directors and P&L Manager in preparing forecasts in reporting and servicing opportunities pursuits and contracted work.

• At your inception, you will be accredited as a DPM through our MAP Training (Managing AECOM Projects) and APIC training (AECOM Project Information Centre – Oracle Financial software).

• Assist Project Managers in the Business Unit with project setup, maintenance and closeout.

• Act as the APIC assistant on the project team by preparing information and entering data for PM review and submission.

• Ensure that financial impacts of change orders, proposed by the Project Manager, are reflected correctly in APIC.

• Assist the Project Manager with the preparation and update of EAC (Estimation at Complete costs) for all projects.

• Ensure that the current budget reflects original as-sold contract plus all client approved changes.

• Be the local ‘super user’ – an expert in AECOM systems and processes able to provide advice, guidance and support to all staff in the Business Unit.

• Any ad hoc duties identified by the Directors and P&L Manager.

• Keep the document control register up to date

• Work with the BUL to evaluate and set up supplier/sub consultants agreements and arrangements as required;

• Coordinate the project closure process

• Detailed knowledge of the relevant internal controls

• Coordinate project reviews with Project Managers and Project Directors.

• Ensure adherence and service quality to APIC and ePM – Project Directors, Project Managers. Support with Audit preparation and compliance.

• Attend APIC reviews.

• Record agreed actions and follow up with PMs.

• Provide overflow DPM resource when required.

Meeting weekly and monthly deadlines for executing identified actions / tasks.

Being pro-active in identifying necessary tasks and actions to ensure KPI's are achieved and able to work independently and within the team

Support in monitoring project performance and key indicators including understanding impacts on revenue and costs

Minimum Requirements

• Strong financial, contractual, commercial, and communication skills.

• Able to demonstrate high levels of initiative and be able to work well within each of the teams to support the project managers.

• Strong computer skills and strong knowledge of Oracle Software is essential.

• Excel, Salesforce and PowerPoint skills are also desirable.

• A ‘can do’ personality is critical to success.

Preferred Qualifications

• Relevant educational qualifications or experience in the area of accounting / finance or similar with good analytical and numerical skills
