This role is required to update and maintain the integrity and quality of certain personal data contained in the Firm’s Personnel and Sharepoint systems.

Role

Reporting to the Head of Shared Services on day to day work related tasks and staff matters, you will work closely with another member of the Shared Services Coordination staff.
You will be responsible for reviewing the driving licence documentation of company hire car drivers and for recording and maintaining the relevant data in the systems to facilitate car hire bookings.
You will be responsible for recording and updating other staff audit data relating to project bids and for following up with staff whose information is missing.
You will establish a process for ensuring that the data being loaded into the system is cleansed on a regular rolling basis.
You will correspond with any of the Firm’s staff who have not followed the Protocol, and where possible requesting them to send additional information.
You will be responsible for the controlled and safe destruction of any personal data that you are sent, within the Firm’s data protection guidelines.
You will be responsible on an ad hoc basis for updating staff site whereabouts, on an exceptional basis and only by request of Global Health and Safety for their own recording and data purposes.
You will deal with the daily post for finance shared services and other ad-hoc activities as requested.

Requirements and skills

Knowledge and experience of using Oracle and/or Sharepoint
Excellent attention to detail and good organisation skills
Experience of Excel for maintaining information
Strong customer service focus and good communications skills
Self-starter able to manage and prioritise workload and work on own initiative
