Editorial Assistant for Online Information Review

The Information School at The University of Sheffield is a thriving community of students, educators and researchers dedicated to the study and advancement of the information field and its professions. The editorial team of the academic
journal, Online Information Review, is based in the department. Online Information Review is an international, double blind peer-reviewed, ISI-listed journal devoted to research in the broad field of digital information and communication, and related technologies.

The Editorial Assistant role will provide administrative assistance to the Online Information Review editorial team. It will principally involve regular email correspondence with academic authors, editors and referees; liaison with the Journal publisher (Emerald); accessing and working through the online submission and editorial website ScholarOne; the provision of reports for the editors; and attendance at periodic meetings of the editorial board. It will also involve maintaining a social media presence for the Journal.

It is essential that applicants have excellent IT skills and a high standard of written English, as well as the ability to respond effectively to queries and work flexibly as part of a small team. Experience of working in an academic environment, particularly in an editorial assistant role, would be desirable.

This is a part time, fixed term post (7 hours a week until 31st December 2019). Requests for job share arrangements (3.5 hours a week) will be actively considered.

Main Duties and Responsibilities
• Work with our publisher Emerald’s online editorial and submission system (ScholarOne)
• Provide administrative support to colleagues including academic and administrative staff and answer queries in relation to the work.
• Deal efficiently with all incoming and outgoing correspondence, including liaising with authors, editors, referees and the publisher.
• Maintain good relations and provide an effective customer service and basic support to stakeholders of the journal.
• Support the editorial board with regular personal/phone/Skype meetings, and provide a weekly agenda of tasks.
• Keep detailed and accurate records of all Journal business.
• Compile submissions statistics for analysis.
• Maintain a social media presence for the Journal, and work with the Journal editors to develop a successful social media strategy.
• Take minutes and produce formal minutes at meetings when required, including providing and circulating minutes of the annual editorial board meeting.

• Any other duties, commensurate with the grade of the post
