Assistant Project Manager

Job Summary

This role is responsible for supporting Project Managers with supporting the planning, organizing, project control, reporting of various Technology and ITS projects across the UK. The successful applicant will contribute towards achieving the project goals and objectives of the assigned projects. A key focus will be project set up, financial forecasting and supporting project reporting. It will be advantageous if the applicant has knowledge and experience of quality control, project planning and organisational experience (e.g. stakeholder management). Knowledge of PRINCE2 and contract awareness would also be a distinct advantage.

This role may involve some travel and working with dispersed teams – hence an ability to communicate effectively and prioritise accordingly will be essential. We would consider the role on either a full or part-time basis and are happy to look at a range of different working patterns.

Specific responsibilities will include (some of which will be in support of the Project Manager):

Preparing the project for setup and ensuring that AECOM processes are followed and that the Project Manager has all the information necessary

Supporting the completion of all agreements and financial information (costs/fees/profile) for internal/external agreement as necessary

Establishing the project files and supporting the production of Project and Quality Plans

Monitoring progress in line with the Programme, chasing down deliverables and raising issues to the PM (tracking/reporting key tasks/deliverables)

Drawing up Early Warnings and supporting the issue of Compensation Events,

Managing the forecasting/profiling, applications for payment and invoicing, via the AECOM system and liaising with finance teams as appropriate

Assisting the Project Manager on a daily basis to aid productivity

Arranging and attending project and stakeholder meetings and drawing up minutes and progress reports in line with the contract requirements

Identifies areas needing improvement and recommends corrective action to improve overall project performance;

Minimum Requirements

Financial administration experience of consultancy based projects

Advanced knowledge of Microsoft Excel and good knowledge of other MS Suite applications, specifically Word

Demonstrable knowledge of effective team working and communication

Ability to produce accurate project reports, specifically progress reporting, records of meetings, reports relating to project progress

Ability to prioritise effectively and work with diverse teams

Writing reports, formatting documents and quality checking for document issue

Strong and confident communicator with good organisational skills

Ability to establish and maintain good working relationships throughout the project

Ability to influence other staff and partners to maintain progress and obtain information in a timely manner

Demonstrable experience within a project environment preferably within the transportation sector

Some understanding and experience of ITS/Technology projects preferable

Experience of working up Project Plans, supporting quality management processes, producing minutes and project reports

Experience of executing Prince2 documentation and implementing Prince2 processes.

An interest in the technical aspects of the project would be highly beneficial, to support monitoring and risk

Preferred Qualifications

PRINCE2 or APM accreditation

Knowledge of project finance systems, project governance and project control in a Consultancy environment

Knowledge of ISO 9001 and quality management

Experience of MS Project and Project tracking

Some formal qualifications or accreditations in Project/Financial Management
