Summary:

An exciting opportunity has arisen for a part-time Receptionist to cover maternity leave, in the Sheffield Institute for Translational Neuroscience (SITraN). SITraN is a purpose built research facility which was opened in November 2010 by Her Majesty the Queen. The Institute houses clinical and basic scientists from the Department of Neuroscience and the primary focus is research into neurodegenerative disorders such as Motor Neurone Disease (MND) and Parkinson’s disease.

You will join the Administration Team based in SITraN consisting of a team of 6 administrators providing a range of support functions to our academic, clinical and science colleagues, as well as internal and external guests. Each member of the team has their own specialty and responsibilities but work together to support the Department.

Job Description

Main Duties and Responsibilities
First point of contact for visitors to the Institute ensuring a pleasant and professional image is maintained.
Answering the main enquiry telephone line. This involves dealing with, forwarding or taking messages appropriately and promptly. Enquiries will vary from members of the public requesting information to prestigious national and international contacts.
Filing documentation accurately and consistently adhering to Records Management Guidelines.
Entering information onto databases with accuracy and attention to detail. Prioritising routine administrative tasks in a timely manner to meet a range of requests.
General assistance to other staff within the Institute as required. Booking travel for staff using standard procedures and the University procurement system.
Dealing with post, signing for deliveries and ensuring they are dealt within a timely manner.
Maintaining the reception area ensuring it is tidy and that notice boards are up to date.
Responsible for booking meeting rooms and refreshments within the Institute.
Safekeeping and organisation of departmental IT, video and presentation equipment.
Ensure adequate supplies available for photocopier.
Monitoring and ordering stationery and other items for the academic unit. Involved use of the University ordering system and training can be given.
