Intern - Operations Support unit

Job Summary
The Operations Support Unit encompasses different departments that provide horizontal services to the International Development units.

The intern, under the supervision of the Chief of Staff , will be in charge of the following duties and tasks:

Communications
Communications with clients, experts and in-house staff;
Drafting and design of internal and external newsletters and other communications.
Assist the CoS with the coordination of Global IDEV Communication working group requests
Assist the CoS Relationship with Global IDEV teams and coordination of the requests (searching for references, project information, etc.)
Marketing
Assist the CoS with the Coordination of IDEV Marketing working group requests
Preparation/Formatting of marketing material
Brochures, flyers, powerpoint presentations, etc.
Gathering invoices of Marketing material

Quality
Assist the CoS in the handover to AECOM’s Spain Quality Department, enabling them to conduct Quality Audit
Prepare project certificates for projects and experts
Translation
Translation of contracts, references, communications (English-Spanish-French)
Training
Liaise with HR department to organize all 2017-18 Trainings according to the IDEV Annual

Other
Brand Reimbursement (gathering all invoices and necessary information to submit this request)
Assistant to the Chief of Staff
Minimum Requirements
Training and education:

Compulsory:
Bachelors Degree (Licentiate)
Advanced user level computer skills
Complementary:
Postgraduate diploma (MS, MBA, Ph.D..)
Knowledge of EU Aid Development projects: donors, contracting procedures, etc.
Language skills

Compulsory:
English, French and Spanish at very high level (at least C2 level in EU standards).
Complementary:
Other languages (Arabic).

Personal skills:
Analytical and writing skills
Strong interpersonal and communication skills
Capacity to meet deadlines and follow several programmes of different nature
Pro-active attitude to foresee project risks and mitigate their effects (strong problem-solving skills)
Organised, systematic and able to set priorities

Preferred Qualifications

Professional experience:
This position does not require professional expetience; however, any prior working experience will be assessed favourably.

Able to sign a Learning Agreement for the internship placement (6 months)
