Summary:

The University of Sheffield Medical School wishes to appoint a Research Coordinator to support The EU COST Action MouseAGE award. You will manage and coordinate all the activities of the network including organization of events, financial reimbursement and budgeting, reporting and production of scientific papers. Excellent organizational, communication and IT skills are essential for this post, prior experience of administering similar programmes and a scientific background would also be advantageous.

The post is based in the Department of Oncology and Metabolism in The Medical School.

Main Duties and Responsibilities

 Manage and coordinate all activities for a European research project (European Cooperation in Science and Technology (COST) Action BM1402, MouseAGE.
 Contribute to the design of the programme for meetings/workshops/training schools during the course of this project and ensure a smooth running of the event on the days of the meetings. This will require liaising with the Core group, the local organising committee and management committee.
 Organise registration, abstract submission, travel arrangements for participants of conferences
 MouseAGE.
 Liaise with the chair of the action to plan the timetable and coordinate all MouseAGE meetings for the year, including those online.
 Serve as the first point of contact in answering individual queries.
 Design, maintain and continuously update the project website including the latest news and events, working group details. Ensure that the latest information is available for applicants on Short Term Scientific Missions.
 Design and publish regular newsletters of the project.
 Interpret and understand financial regulations of COST and University applicable to the MouseAGE Action.
 Process travel reimbursement claims for participants of the meetings.
 Arrange information and guidance presentation sessions for participants to help them become familiar with COST rules, regulations, forms and financial requirements.
 Carry out the financial checks and process all reimbursement claims of the project.
 Liaise with University’s Finance Department in order to ensure that all financial reimbursement procedures are conducted according to the COST rules.
 Liaise with the administration officer and the scientific officer of the COST office for budget planning, reporting and any other arising matter.
 Support the chair in the preparation of yearly reports and any other document as required by the Action.
 Liaise and support working group and working group leaders in their tasks.
 Co-ordinate and facilitate the production of brochures, newsletters, meeting proceedings and project leaflets. This includes collaborating with professional artists in producing these materials, and communicating with scientists to prepare the specialist content for these publications.
 Implement the authorisation procedure and reimbursement of all Short Term Missions according to COST rules.
 Arrange the complete set of documents required for the initiation and completion of the Short Term Missions and liaise with the Short Term Mission Co-ordinator.
 Archive the required documents of all current and past Short Term Scientific Missions.
 Assist in the dissemination all information about COST for the general public through networking with members of the COST action.
 Generate and maintain database for all participants of MouseAGE.
