Faculty Finance Assistant

Summary:
The Faculty of Arts and Humanities comprises of four departments and two schools, and hosts a diverse range of research centres. The academic departments and schools are among the best in the country in terms of learning and teaching,
fostering the development of highly employable graduates.

We are looking to recruit a proactive and confident individual to join our Faculty Finance Team. The primary focus of the role will be to support the Faculty Finance Team with day to day clerical support. The successful candidate will be responsible for budget monitoring, data collection for payroll, data input and account review. The post-holder will report directly to the Assistant Faculty Finance Manager, Faculty of Arts and Humanities.

Main Duties and Responsibilities
 Communicate frequently with the Departments, Professional Services contacts and external organisations. Ensure that all queries are resolved in a timely manner.
 Maintain financial systems by allocating income/expenditure to the appropriate budget headings and ensure coding payments are checked, recorded and comply with financial and audit regulations.
 Provide information and advice to staff in relation to the Faculty Learned Society Fund and the relevant application and approval process.
 Create and update electronic records as required by the Faculty Finance Team.
 Be responsible for monitoring account status (including payroll reconciliations, blocked payments, goods receipting etc) ensuring that expenditure remains within budgetary constraints and highlighting financial variations between budget and actual.
 Calculate, process and monitor payments to bank workers, ensuring that payments are compliant with University regulations.
 Streamline and suggest best practice in relation to administrative processes as
appropriate.
 Maintain appropriate records of committed expenditure and assist the Faculty Finance Team with the reconciliation of accounts.
 Create on-line shop accounts as requested by Departments in conjunction with the Faculty Finance Team and promote the use of the on-line shop within the Faculty.
 Exchange ideas and best practice, developing relationships within the Faculty and contributing to the implementation of financial strategies and policies.
 Remain up to date with changes in financial procedures and deadlines, and support the Faculty’s financial awareness by working with the Faculty Finance Team to disseminate updates as needed to ensure compliance with the University Financial Regulations and audit requirements.
 Provide appropriate cover for the departmental procure to pay processes as required.
